Receptionist / Sr. Administrator (m/f)


In general the role handles all reception related tasks such as welcome of internal and external guests besides the management of operational tasks around post, shipments and also business related administration support.

The responsibility of the Receptionist / Sr. Administrator is:

  • Welcome of internal and external visitors, including safety brief and responsible for ad hoc inquiries in person and on the phone

  • Maintaining safe and clean reception area by complying with procedures, rules and regulations

  • Support of international business travel requirements for all sales, customer service and public affairs colleagues (e.g. business visa)

  • Support with expense submissions for frequent traveling leaders

  • Dealing with incoming/outgoing post and shipments globally

  • Assistance with preparing, finalizing and maintaining all type of correspondence, including proofreading for non-native German speakers

  • General administrative assistance incl. coordination and planning of local and offside meetings/functions, menu, room capacity, hotel and travel accommodation

  • Liaising with internal and external stakeholders, including customers and suppliers

  • Energy management duties, including official documentation

  • Power-user Germany for the internal travel portal

  • PO requisitions and invoice management

  • Supply Management


You are expected to have a completed commercial education in business administration or equivalent and 5 years of work experience in a similar role in an international business context.

Besides that we are looking for candidates who comply with following requirements:

  • Affinity with digital portals and other digital work process systems

  • Negotiating skills in English and German, any other European language as an advantage

  • Excellent organization skills

  • Must have very strong customer service approach, hands on mentality and pro-active action

  • Ability to prioritize between customer critical items and internal tasks

  • Advanced Microsoft Office skills

  • Continuous learning and development mind-set
