The Coldwell Banker Wilmette office is seeking a Part Time Administrative Assistant.The Administrative Assistant is responsible for general administrative duties in the real estate sales office in coordination of all the activities involved in advertising, listing, sales and closings of properties. In addition to supporting the Branch Manager, Office Administrator, and the agents, the Administrative Assistant handles expenses, disbursements, and reporting to assist in enabling operational effectiveness at the real estate sales office.
Essential Job Duties:
Listings: Responsible for processing all new home listings. This includes but is not limited to:
Create and manage transaction in Homebase
Enter Listing into local MLS (include and applicable disclosures)
Send out communication to new listing clients
Review entry of new listings into online marketing tools and work with agent to create any applicable marketing materials.
Work with agents on uploading photos to market the listing.
New Agent Orientation: Responsible for supporting the Office Administrator with the successful on-boarding of all new agents. This includes but is not limited to:
- Set up phone, printers, order signs, name tags, business cards, keys/fobs, etc
Marketing Support: Support regional marketing team by helping agents navigate our various marketing tools. Includes but is not limited to:
Manage print advertising schedules, agent marketing budgets, the marketing of all new listings, and billing/accounts receivables
Help introduce the various marketing opportunities to new agents.
Support marketing team in setting up new agents with their personal marketing and branding as they join the company.
Front Desk: Responsible for answering the main phone line and greeting clients and agents that visit the office.
Answering phones and transferring calls to the appropriate destination
Welcomes on-site visitors and determines nature of business and announces visitors to appropriate personnel
Keeping the Reception area and conference rooms neat and clean for visitors
Provide back up support as needed (including covering support staff shifts) when support staff members are out of office
Other administrative duties as needed.
High School Diploma or equivalent work experience required.
Two plus years of prior administrative experience strongly preferred.
Prior Real Estate experience strongly preferred.
Technology proficiency is imperative. Must be very comfortable with Microsoft office programs such as Outlook, Word, Excel, PowerPoint, and Publisher
Skills and experience with Adobe programs such as Adobe Acrobat, Adobe InDesign, and Photoshop
Strong verbal and written communication skills, including excellent copy writing and editing skills
Ability to interact successfully with both internal and external customers at all levels
Ability to multi-task, prioritize and be flexible with changing business needs in a team environment

- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. The employee must occasionally lift office products and supplies weighing up to 20 pounds. Must be able to physically, with or without accommodation, operate a computer, phone and/or copy machine. Must possess the ability, with or without accommodation, to express oneself, communicate with others, listen and exchange information.
