Summary:

Reporting directly to the Director, IT VMO, the IT Contract Manager is responsible for the strategic implementation and compliance of contractual agreements (software, hardware, cloud providers and professional services) across the Global IT organization, as well as managing the relationships with those vendors that provide an IT service.

The IT Contract Manager is responsible for managing the contract life cycle, which includes the negotiation of terms and conditions, changes & modifications and the enforcement of performance clauses, including penalties and incentives.

The IT contract manager will work extensively with internal customers, legal, strategic sourcing, and accounts payable to ensure effective contract administration and that an accurate, detailed SOW is included in customer contracts.

Responsibilities will include, but are not limited to, the following:

•Act as the key IT contact and subject matter expert for all contract-related financial management and tender activities. This includes working with Legal and Strategic Sourcing to develop and negotiate contract terms, conditions, modifications, penalties and incentives, while working with key stakeholders to ensure that their requirements are met. Additionally, this position manages the contract execution process, resolving problems, mitigating delays, mediating disputes and escalating issues.

•Establish contract management objectives, procedures, templates and workflow processes for vendor contracts and deliverable schedules, and manage a contract register containing a database of all executed contracts.

•Ensure consistency with partner contracts, define and execute on SLAs, build terms around efficiency gains and partner investments

•Review IT contracts & build efficiencies around contract renewals with year over year productivity gains; and have a preliminary knowledge of pricing models

•Understand contracting market trends, align the right contract structure, to customer needs and expectations, and track, gather and analyze market and industry data.

•With large contracts, manage contract review meetings to ensure delivery against objectives and contract budgets, develop regular reports on contract milestones and performance, and inform internal customers, vendors and management of activities and progress through regular written and verbal communication.

•Provide recommendations for improvements to processes, procedures, workflow and organizational structures for contract management.

•Administer commercial and financial arrangements with vendors to include billing, invoicing, performance/penalty adjustments and internal chargebacks, where appropriate.

•Establish clear processes for the involvement of legal resources in the contracting life cycle.

•Work with legal representatives to develop and insert appropriate legal documentation in contracts, as warranted.

•Ensure that the vendor(s) are compliant with internal rules and regulatory obligations.

Qualifications

A bachelor's degree in business, computer science, finance or a related field is required, graduate degree a plus.

Minimum 8 years’ IT experience leading corporate wide initiatives; with a high level understanding of different SDLC models, IT Risk and Compliance, preferably within a Pharmaceutical, Bio-Technology, Life Science industry.

Skills/Knowledge Requirements:

•8+ years’ overall IT experience leading corporate wide initiatives, with 4+ years of experience in the contract management role, negotiating and managing contract life cycles, with an emphasis on technology and/or IT service agreements

•High level understanding of different SDLC models, IT Risk and Compliance; preferably within a Pharmaceutical, Bio-Technology, Life Science industry

•Experience in one or more IT categories, including hardware, software, cloud, professional services & IT delivery

•Experience working with legal, finance, strategic sourcing, vendor management and procurement staff

•An ability to determine contractual and financial exposure and negotiate contracts, and to participate in the development of the asset management mission, goals and objectives

•Strong process management skills, with the ability to handle multiple vendors and multiple contracts, as well as a wide range of tasks

•Knowledge of contracting trends, licensing models, and traditional and emerging contract and vendor performance models

•Strong ability to communicate with IT users, legal and strategic sourcing, and business leaders to craft contracts that align complex needs with contractual requirements to achieve business outcomes

•Ability to understand contract risks and to work with other parts of the organization crafting tactics and strategies for risk mitigation

•Customer-focused approach to delivering contract management services to internal customers

•Strong relationship and interpersonal skills to be applied in working with vendors across the entire contract life cycle, including managing disputes

•Analyzing and evaluating change to drive continuous improvement in the process of contract management and contract management trends

•Proficient with MS Word, Excel, PowerPoint
