JOB REQUIREMENTS: Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. Employee is routinely the first contact the public has with the City. The position is responsible for interpretation of city codes to assist City staff and the public, preparing and maintaining special assessment records, taking of and transcribing meeting minutes, maintaining permanent record of all City meetings and assisting with records management, assisting with the administration of elections, processing license requests, preparing of a variety of billings and other related tasks. Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports. Create, maintain, and enter information into databases. Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. Learn to operate new office technologies as they are developed and implemented. Open, read, route, and distribute incoming mail or other materials and answer routine letters. Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions. Use computers for various applications, such as database management or word processing. ***** OTHER EXPERIENCE AND QUALIFICATIONS: Strong written and verbal communication skills to effectively and professionally communicate with co-workers, elected officials and the public. Considerable knowledge of computers and software applications such as Word, Excel, Civic/Caselle, MarketDrive and Adobe Acrobat and ability to obtain WisVote certification. Strong organizational skills, attention to detail and accuracy. The ability to multi-task and work under strict deadlines. Knowledge of federal, state, and municipal laws pertaining to the City Clerk's office and municipal functions such as elections, licensing, resolutions, ordinances, annexations, special assessments, and maintenance of records. Considerable knowledge of local government organization and procedures. Ability to work independently with limited supervision. Ability to take and transcribe meeting minutes.
