Working under general supervision, performs diversified technical, clerical and administrative support functions related to records creation, retention, retrieval, and storage. Responds to all records requests in a timely manner to facilitate workflow and scheduling for department staff.


  • Sorts and classifies information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical or numerical order.

  • Adds new material to file records or creates new files as necessary.

  • Finds and retrieves information from files in response to requests from authorized users. Keeps records of materials filed or removed using logbooks or computer.

  • Uses appropriate technology to image and index documents for storage on imaging or document storage platform.

  • Verifies quality and accuracy of scanned images. May coordinate imaging services provided by third party.

  • Performs general file maintenance including moving items to archives per established guidelines or requirements.

  • Maintains inventory onsite and offsite records in compliance with business requirements.

  • Acts as lead on document management responsibilities pertaining to high-profile clients.

  • Assists manager or takes lead in documenting and maintaining departmental procedures.

  • May assists users of imaging or document storage platforms.

  • Assists manager or takes lead in efforts to analyze and streamline processes related to document creating, use, storage and retrieval.

  • Assists with systems upgrades. Performs other duties as assigned.

  • No formal supervisory responsibilities in this position.


  • High school diploma or general education degree (GED) required.

  • Minimum of 2 years file or records administration experience required.

  • Formal training or education in business or records administration preferred.

  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.

  • Ability to write routine reports and correspondence.

  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.

  • Ability to effectively present information to an internal department and/or large groups of employees.

  • Requires basic knowledge of financial terms and principles.

  • Ability to calculate simple figures such as percentages.

  • Ability to understand and carry out general instructions in standard situations.

  • Ability to solve problems in standard situations.

  • Requires basic analytical skills.

  • Basic knowledge of computer software and hardware (i.e. Microsoft Office Suite Products).

  • Familiar with a variety of file types such as TIFF, JPEG, PDF, MS Word and Excel.

  • Ability to work in multiple software platforms and learn and retain technical software applications quickly. May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly.

  • Decisions made with general understanding of procedures and company policies to achieve set results and deadlines.

  • Errors in judgment may cause short-term impact to co-workers and supervisor.
