PURPOSETo provide secretarial, clerical and administrative support to facilitate all patient activities such as registration, order entry, collections, benefit verification, and file maintenance.
*Patient Service Representative
Greets patients and physicians in a courteous and professional manner.
Phones are answered promptly and professionally. Calls are processed accurately and message are taken and delivered on a timely basis.
Demonstrates proficiency in use of Meditech system.
Demonstrates proficiency in use of Picture Archiving and Communication System (PACS).
Exams are ordered in a timely manner.
Performs and completes all necessary paperwork to include requisitions and film jackets.
Assembles jackets, films, and reports for conferral with Radiologists and referring physicians.
Coordinates various departmental requests for exams and notifies appropriate technologists.
Makes copies of various documents and delivers them to appropriate parties.
Files reports and film jackets and maintains report log per department procedure.
Assists department personnel when needed.
Processes legal requests per department/hospital policy.
Demonstrates professional dress as outlined by department dress code.
Maintains foreign film file to include mailing films back to point of origin.
Coordinates film retrieval from off-site storage facility.
Reports any significant problems related to patient care or inadequate procedures to Office Manager and/or Supervisor.
Prints and distributes daily schedules.
Signs in and out films (film or CD’s) for patients and physicians per department procedure.
Receives and processes incoming and outgoing correspondence, i.e., mail, faxes, film requests. All incoming faxes are given to appropriate individual or filed within 24 hours of receipt. Faxing of documents is in compliance with HIPPA policy. Reports are called and/or faxed within 24 hours.
Maintains appropriate level of supplies including patient documentation forms to ensure efficient operation of front desk and file room.
Fields patient or customer complaints, written or verbal, and formulates a resolution. Requests assistance as needed from Office Manager and/or Supervisor to help achieve an amenable resolution
Advises Office Manager and/or Supervisor of any system issues or unresolved problems. Seeks guidance as needed.

Demonstrates proficiency in use of Front Office Scanning (FOS).
Patients are registered in a timely manner.
Demonstrates Proficiency in use of RPAS system for new patient and monthly registration. All data entered is checked for accuracy than copies made and disseminated to appropriate parties at end of each transaction.
Physician verification is completed prior to new patient being scheduled. Copies of physician’s license, OIG and GSA are made for clinic manual and medical records.New patients are called 48 hours in advance of their appointment to remind them of their appointment and what information they need to bring with them.
QUALIFICATIONSExperience: Secretarial and/or customer service experience preferred. Knowledge of basic medical terminology preferred. Strong, effective communication and interpersonal skills. Able to deal in a professional and tactful manner with patients, visitors and staff. Must be able to multi-task.
