Front Office Assistant*Overview:*
This position provides front office and administrative support to principals, managers, and staff; ensures that timely and courteous service is provided to all clients and firm personnel; and requires a polished, poised and engaging presence.
Administrative: Performs full administrative duties and other routine office functions. Schedules appointments/meetings for office personnel and conference room calendars including reservations of office equipment and resources. Performs word processing and spreadsheet tasks with accuracy and in compliance as assigned. Facilitates daily mail duties, collection and distribution to include receiving and sending packages. Orders catering as needed. Opens service tickets to troubleshoot facility issues. Assists with proposal production and distribution, including client financial statements and tracking tax returns. Assists with ordering business cards and name plates, and preparing information packets, as requested. Opens and closes the front office.
Data Entry/Recordkeeping: Collects and organizes information/data for reports, correspondence, spreadsheets and presentations. Inputs and scans data into computerized systems according to the established paperless process to assist assurance and tax teams, as needed.
Reception: Performs receptionist functions including answering and transferring calls on a multi-line telephone system, caring for routine client inquiries, receiving and directing visitors in a friendly and professional manner, and validating parking tickets.
- Must be punctual and able to multi-task a high volume of work during busy periods to meet deadlines.
- Technically proficient in in Microsoft (MS) Windows and Office Products. Regular use of MS Word, MS Excel, MS Outlook, MS PowerPoint, STAR, and Adobe.
- High school diploma or equivalent.
