Aerotek Office Manager in Pasco, Washington

Scope: Under the direction of the Plant Manager, the Office Manager will be responsible for the administrative functions and performance metrics of a distribution center office. Significant Activities & Deliverables: Oversee and assist with coordinating customer orders for delivery and shipment. Oversee the accuracy and timeliness of outbound orders. Coordinate with plant manager, sales team, warehouse personnel and drivers for outbound orders and logistics Oversee daily invoicing and batching meeting required deadlines and accuracy KPIs. Assist with route dispatching and efficiency analysis. Oversee and participate in plant inventory reconciliation. Monitor inventory levels and inventory KPIs. Coordinate with Plant Manager and Purchasing. Assist with customer and team member requests for information and analysis. Set up new accounts in accordance with company on-boarding procedures. Work closely with AR and AP teams to meet company KPIs. Maintain vendor price books including executing price changes, adding new products and updating price levels and customer price exceptions. Coordinate with sales and marketing with upper management input and approval. Oversee and assist with DOT, HAZMAT, chemical and propane compliance requirements. Assist with the onboarding process of new company computer platform including operational input, updating procedures and training. Analyze current office functions for increased efficiencies and cost reduction. Maintain office equipment and supplies. Hold regular 1:1 meetings with office staff and plant manager In coordination with plant manager, evaluate office staff performance and write/deliver bi-annual reviews Follow, apply, and enforce plant safety rules and procedures. Necessary Skills & Abilities: Demonstrate excellent verbal and written communication. Including professional use of phone and e-mail correspondence. Must be able to provide excellent internal and external customer service Ability to develop and maintain professional relationships with Vendors. Ability to develop and maintain professional relationships with customer principles. Possesses working knowledge of generally acceptable inventory and purchasing practices. Possesses working knowledge of generally acceptable A/P and A/R procedures. Working familiarity with taxes. Ability to supervise others and evaluate performance. Ability to work in an unsupervised environment. Excellent planning and organizational skills, with the ability to prioritize. Must have excellent working knowledge of Microsoft Office. Ability to move and manipulate data from other sources to Excel, Pivot tables etc Demonstrated understanding of the principles and Core Values Hours: 40+ Hours per week. Minimum Qualifications: Minimum 3+ years Office Management experience Experience with general accounting practices Experience with ERP systems Customer service and sales experience preferred
