Note: This is a project position with an expected end date of August 31, 2017.This project has been around since 1983 and is expected to renew annually. The Washington Service Corps (WSC) of the Employment Security Department (ESD) is recruiting for a Secretary Senior. By administering a statewide AmeriCorps national service program, the WSC continues its mission to promote and support community-based initiatives through local organizations that assist individuals, families and communities in need. This position contributes to the mission of WSC by providing secretarial support to the WSC program Director and the WSC Program Coordinators. For more information about the Washington Service Corps and AmeriCorps, please visit WSC's website . DUTIES: Perform complex clerical tasks to assist WSC Management/staff in daily operations. Compose routine correspondence; perform complex word processing and spreadsheet tasks to include proofing and editing of documents. Provide general support to get work or projects done. Create agendas, attend meetings and take minutes; transcribe notes/minutes. Perform new employee on-boarding. Provide lead logistics support with unit facilities and supplies. Provide customer service by answering main line phone calls and general inquiries sent to central email accounts. Maintain and enter data into databases and Excel spreadsheets. Maintain log of agency-required trainings due and send reminders to staff. Send evaluation reminders to supervisors and tracking of final documents for timely processing. Manage shared drive by updating and organizing folders. Create new member or site files each program year for both the WSC and WRC caseload managers. File member forms and paperwork. Review member files for completeness and support in the collection of any necessary documents needed to finalize any member files throughout the program year. Each program year, date stamp member enrollment packets and give to the Program Assistant for logging. QUALIFICATIONS: Required qualifications: Awareness-level research skills - gather information. Working-level computer skills - use computer hardware and software to complete assignments. Awareness-level writing skills - convey information in writing according to the needs of the audience. Working-level oral communication skills - convey information orally according to the needs of the audience, and receive and understand spoken information. Working-level workload management skills - plan and organize assignments to create timely, accurate work products. Work efficiently, remain focused, and handle interruptions effectively.
