As Administrative Office Supervisor you will plan, organize and supervise department clerical staff and activities, perform diversified administrative/coordinative duties supporting Department Head and business operation and maintain flow and quality of department work.
Supervises, coordinates and leads the work of assigned clerical staff.
Hires, trains, disciplines and supervises staff. Evaluates performance and ensures appraisals are completed on a timely basis.
Trains new clerical staff members in department policies and technical procedures. Provides instruction related to new procedures, as required.
Approves vacation and holiday time, ensuring adequate department coverage at all times. Submits and reviews departmental payroll sheet.
Performs diversified administrative/coordinative duties supporting the Department Head and business operation:
Composing correspondence, reports, memoranda, etc.
Scheduling of all business appointments, meetings, etc.;
Maintaining files and records;
Taking minutes at meetings;
Performing receptionist duties;
Preparing statistical data;
Ordering supplies and maintaining inventory.
Plans, organizes and facilitates department clerical activities.
Reviews, evaluates and modifies clerical systems to maximize productivity and efficiency. Maintains flow and quality of work.
Analyzes operating practices (i.e. recordkeeping systems, forms control, office layout, suggestion systems, staff and budgetary requirements, performance standards) to create and/or revise systems / procedures.
Maintains and updates division manuals, as necessary. Issues and interprets operating policies.
High School Diploma or equivalent, required. Associates Degree or secretarial school graduate, preferred.
Minimum of three (3) years progressively responsible administrative support experience, required.
Typing 50 wpm, required. Data entry skills, preferred.
Working knowledge of PC applications, required.
Ability to communicate effectively.
