Under the general direction of the Health Center Director, performs the administrative and clinical support tasks necessary for efficient center operations to ensure high quality client services and support, informed consent, client education and counseling, effective clinical support, efficient client flow, and a professional health care environment.
Provide general information to clients via telephone and personal contact, while maintaining strict client confidentiality policy. Schedule appointments via computerized appointment scheduler in a manner which facilitates efficient client flow. Greet, register, and handle clients and visitors. Initiate paper work for client's visit and prepare chart with medical history and all appropriate paper work and forms.
Collect client financial and insurance information; verify eligibility for sliding fee scale, grants, commercial insurances, and Medicaid/Medicare. Collect referrals/authorizations/certifications and submit to Medical Billing Department with Encounter Form.
Collect and enter accurate client fees, client demographic and financial information, CPT/ICD-9 codes, clinical history information, client payments, and prepare of client receipts.
Compile and prepare charts for clients. Sort charts, separating those requiring clinician signatures, test results or medical transfers.
Assist in obtaining informed consent via information and education about the medical examination, requested/required laboratory tests, and methods of contraception to assure understanding of risks and complications. Assure that client is firm in decision to receive services from PPM, including medical procedures/examinations, medications and testing. Maintain medical record documentation and laboratory results documentation.
Obtain and document vital signs. Assist the Clinician as necessary. Provide medications to clients under the supervision of a Clinician. Assist with preparation of medical referrals for clients.
Perform daily/periodic quality assurance activities; collect and process blood and urine specimens according to PPM Lab Manual; prepare specimen laboratory requisition for processing by appropriate outside laboratory; maintain lab log with all tests performed and the test results; file normal test results in medical record; refer abnormal results to Clinician and assist with follow-up.
Clean and maintain the proper working order of Health Center equipment, and sterilize instruments according to OSHA standards. Perform and record weekly spore testing of autoclaves.
Balance cash drawer to MIS, preparing deposit slips, run end-of-day reports and delivery of daily deposits to bank as instructed by Center Director. Participate in health center/affiliate efforts to achieve established revenue cycle goals.
Prepare client and exam rooms for daily procedures. Stock, clean and organize exam rooms, and medical storage rooms. Maintain adequate stock of all medical and emergency supplies, and emergency equipment. Unpack and distribute Health Center supplies to proper areas within the center. Assemble and pack boxes with appropriate labeling for Hazardous Waste Disposal.
Assist with emergency situations according to PPM standards and guidelines.
Adhere to affiliate goals and policies on professionalism, wait time in-clinic and on the phone, and the system for addressing client complaints.
Participate in health center efforts to achieve established goals for productivity and to achieve established revenue cycle goals.
Work at other PPM health centers as needed.
Ability to maintain confidentiality: May be exposed to confidential information whose disclosure would be contrary to the best interest of the agency, the client, facility and professional ethics.
Other duties as assigned.
Education/Experience: Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
Possession of a high school diploma or equivalent; and
Successfully completed a Medical Assistant program or have equivalent experience including medical assisting, health care and/or medical records, and typing.
Maryland HIV/AIDS counseling certification or willingness to obtain immediately after employment.
Phlebotomy/IV training or willingness to obtain after employment.
CPR certification or willingness to obtain immediately after employment.
Ability to read, write, and speak English fluently.
