Job Summary:

The Department Support Assistant provides general secretarial services to the department under the direction of the Director. The position requires a high degree of computer skills and a professional demeanor in dealing with others. The position has access to highly confidential material and must be capable of discretion.

Essential Duties:

  1. Functions at Administrative Assistant level, under the direction of the Director, providing general secretarial services to the Department as well as monitoring purchasing and supply acquisition, maintenance of personnel records and monitoring the evaluation process

  2. Presents a professional demeanor with staff, patients and visitors in person and on the phone.

  3. Takes accurate messages from phone or other sources. Sees that messages are received by proper person

  4. Keeps accurate calendar of events and appointments for Director

  5. Maintains correspondence files using retrievable system

  6. Maintains confidential information. Uses discretion in contact with others and in release of all information

  7. Properly routes maintenance requests and follows up until completion

  8. Orders supplies for the department and monitors delivery

  9. If needed takes and transcribes accurate minutes for department meetings

  10. Prepares purchase requisitions accurately for signature. Follows up by matching final bill to requisition

  11. Processes departmental memorandums and distributes appropriately

  12. Opens and sorts mail. Brings to attention of Director as appropriate

  13. Monitors evaluation process. Keeps accurate records of due dates and assures evaluations are completed on time. Keeps Director informed of evaluations nearing deadline

  14. Maintains personnel files accurately, completely and in a manner consistant with hospital policies and state and federal regulations

  15. Competent in computer skills

  16. Works with nursing to follow que on EMR check in for daily patients. Includes assigning rooms to patients for MA, treatment cards and billing sheets ready.

  17. Performs other duties as assigned by authorized personnel or as requested to meet the needs of the facility as well as internal and external customers


Education / Accreditation / Licensure (required & preferred):

High School graduate or GED equivalent. Prefer graduate from business or vocational school with emphasis on secretarial skills

Experience (required and preferred):

Prefer minimum of 4 years of background in secretarial, clerical, record keeping, typing, filing and computer skills. Must be proficient in the operation of computer / word processing equipment and type a minimum of 60 words per minute.
