JetBlue Airways Executive Assistant Administrative in Long Island City, New York

Position Title: Executive Administrative Assistant

Position Summary

The Executive Assistant reports to the Vice President Talent and supports administrative functions within the People Department s. The Executive Assistant is responsible for handling the administrative and logistical needs of the Vice President-Talent and Director-Crew Relations in addition to supporting the Vice President Compensation & Benefits as well as Vice President Values Relations. This person is also responsible for and ensuring that Crewleaders within the department have all necessary resources and support for successful trips, meetings, and events.

The Executive Assistant is a member of the People Team that is skilled at navigating a matrix organization and using appropriate interpersonal styles to build and maintain relationships with individuals at different levels within and outside the organization. The Executive Assistant is self-motivated, enjoys helping and meeting the demands of others and is comfortable working under pressure and time constraints with changing priorities. Essential Responsibilities

  • Maintain the schedule for the Vice President of Talent and Director Crew Relations, including managing calendars, sending communications on his/her behalf when necessary, scheduling meetings and booking travel

  • Provide general administrative support such as handling the mail, screening and directing calls, managing calendars, making travel arrangements, creating/approving expense reports and other tasks

  • Assist other People Directors with ad hoc requests, including expense reports, IT tickets, booking travel, etc.

  • Attend, coordinate, and prepare agenda for Staff Meetings

  • Acts as the initial point of contact for department leadership

  • Performs advanced, diversified and confidential administrative duties and other senior leaders to ensure maximum efficiency of daily operations

  • Handle highly confidential subjects, including minutes of leadership meetings and performance management information

  • Compile data and drafts and preparing presentations

  • Plan internal functions including speaking engagements (Officer Huddles, Commercial Meetings, external speaking engagements)

  • Participate in cross-functional special projects and assignments

  • Other duties as assigned

Minimum Experience and Qualifications

  • High School Diploma or General Education Development (GED) Diploma

  • One (1) year experience in a secretarial, clerical, or administrative position

  • Proficient in Outlook; scheduling

  • Proficient with other computer skills, specifically PowerPoint

  • Knowledge of Microsoft Office, Outlook, SharePoint

  • Experience organizing/coordinating projects while providing exceptional customer service

  • Ability to handle confidential information with professionalism and diplomacy

  • Must be comfortable in a demanding, fast paced environment

  • Attention to detail

  • Ability to write and proof communication

  • Available for occasional overnight travel (up to 10%)

  • Currently in possession of a valid travel documents and ability travel in and out of the United States

  • Able to work flexible hours and be available for an emergency response on short notice

  • Able to pass a ten (10) year background check and pre-employment drug test

  • Legally eligible to work in the country in which the position is located

Preferred Experience and Qualifications

  • Bachelor’s degree

  • Three (3) years in a secretarial, clerical, or administrative position

  • Working knowledge of Sabre and/or SAP

  • Demonstrating the ability to learn new systems quickly

  • Experience working with multiple schedules and coordinating meetings in Outlook

  • Experience working under senior leader and using correct interpersonal skills to keep him/her on track

  • Demonstrating time and organizational management skills when dealing with constant time sensitive requests

  • Potential need to work flexible hours and be available to respond on short-notice

  • Well groomed and able to maintain a professional appearance

  • When working or traveling on JetBlue flights, and if time permits, all capable crewmembers are asked to assist with light cleaning of the aircraft

  • Identify safety concerns, issues, incidents or hazards that should be reported and report them whenever possible and by any means necessary including JetBlue’s confidential reporting systems (Aviation Safety Action Program (ASAP) or Safety Action Report(SAR))
