The HR Organization Program Management Office Analyst will be in charge of supporting the HR Global Process owners and the HR Program and Project Management community on an ongoing basis: tracking status of program deliverables and milestones; supporting the adoption of the project lifecycle and deliverables; program level risk and issue coordination; monitoring the status of projects transitioning into normal service; coordination of the regular project and program level reporting cycles; co-ordination of project Governance arrangements, Post Project Reviews and Program level workshops. Additional responsibilities include assisting the PMO Manager with defining and updating the project management processes, standards and governance, assisting Project Managers on large projects, contributing to Quality Reviews, and co-ordinating activities in support of quality objectives. At times, the PMO Analyst may be asked to provide project support. This will include ensuring project plans and project documentation are complete and current, provide regular project status updates, help acquire the necessary resources and skills, and contribute to the delivery of business systems to meet identified business requirements.

Job Background/context

The HR Organization Program Management Office is the support function for the projects, programs and initiatives portfolio within Human Resources and involves tracking/reporting, assurance/quality control, information management, financial tracking, risk/issue tracking, change control, support and knowledge management/learning from experience.

K ey Responsibilities

  • Maintain governance standards across the portfolio, including tracking, monitoring and (where needed) updating the status of projects and programme deliverables.

  • Administer, manage and enhance HR Tools for projects, programs and initiatives repository and tracking.

  • Manage the HR Lessons Learned repository; attend Post Project Review meetings to identify key areas of improvement to be captured into the Lessons Learned repository.

  • Keep track of the projects and program level risks and mitigations.

  • Carry out assurance review processes as required by the Citi GPMO.

  • Liaise with the HR Project and Program Management community to ensure best practices are constantly adopted and in use.

  • Lead the process to identify areas of improvement for projects, documenting recommendations and sharing updates within the HR Program and Project Management Community.

  • Maintain the repository of project templates to support the Project Managers and continue to evolve the processes and templates throughout the project lifecycle.

  • Set and maintain project standards across all projects in the portfolio.

  • Update and administer the HR Book of work as required using updates from Project Managers and HR tools reports and the outcomes of project and board level meetings.

  • Manage all HR PMO communications including regular/ad hoc requests for updates.

  • Gather and prepare consolidated material from project reports for ad hoc and/or monthly review.

  • Complete and distribute monthly portfolio level reports.

  • Support implementation of the quality strategy, including any processes and templates, across all projects.

  • Manage the change control process across all projects and portfolios.

  • Ensure project plans are created and maintained, deliverables tracked against time and cost, and resource utilization is monitored.

  • Monitor and report on progress of the project to the Project Board and all stakeholders.

  • Provide end user administrative support and training on HR tools HR Tools for projects, programs and initiatives repository and tracking.

Skills

  • Familiar with Project management as well as Agile/Waterfall methodology.

  • Ability to interact with different stakeholders at the senior level.

  • Strong listening, presentation, communication, and written skills.

  • Strong attention to detail in supporting management reporting with clear and concise data analysis and presentation.

  • Highly motivated and self-directed.

  • Good Microsoft Office productivity tools such as, Microsoft Access, EXCEL and PowerPoint.

  • Microsoft SharePoint design/maintenance knowledge preferred but not required.
