Administration provides administrative support to executives, line and staff managers, and departments in various functional areas. May handle special projects and execute research and data analysis. Coordinates activities between departments and outside parties. Work is often of a critical or confidential nature. May execute travel arrangements, meeting scheduling, and expense/budget transactions. Executive Assistant provides support to VP positions or multiple directors and requires in‐depth knowledge of company operations, policies and procedures and excellent communication skills. The Assistant to the VP & GM of the flow business units provides support to the highest level executive in the operating company and is a single‐incumbent position.
ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned. · Receives general instruction. Sets priorities and procedures for accomplishing work. Work is generally varied, short‑cycled and is more administrative than clerical. · Operates a variety of office equipment, such as a personal computer, printer, copier, facsimile, scanner or calculator. Progressively utilizes the features of one or more standard business software packages up to the following skill levels: · Word processor: Performs sorts and merges, prints mass mailings, selects font attributes and changes. · Spreadsheets: Designs routine spreadsheets, sets up routine formulas, prints desired sections. · Database: Sets up new data base files and recommends screen improvements. · Reads mail, highlights action or important items, and attaches relevant files or information for manager(s) review. · Screens calls for manager(s) and responds to routine questions. Regularly gathers routine oral information (or makes oral requests of) other administrative, maintenance, or clerical employees and/or outside vendors, customers, or the public. · Schedules tentative appointments for approval by manager(s), and may schedule group meetings per direction of manager(s). Makes routine travel arrangements. · Coordinates with internal and external sources to accomplish activities of limited complexity, such as obtaining bids for outside printing, office equipment, or supplies; selecting menus and arranging for room setup for local, off‑site group meetings; and arranging for hotel accommodations for group visitors. · Responsible for cash or negotiable instruments, confidential records or reports, or departmental equipment. · Follows all company and corporate health, safety and environmental policies and procedures. · Follows all standard operating procedures. · Responsible for ensuring personal and company compliance with all Federal, State, local and company regulations, policies and procedures for Health, Safety and Environmental compliance.
Candidate is experienced in administrative support of executives, line and staff managers of 3 years exp.
High School degree (or equivalent)
OTHER SKILLS and ABILITIES:Ability to use PC and associated software. General knowledge of the following Windows software packages: Excel, Word, Office Vision, and PowerPoint. Good written and oral English communication skills with excellent grammar required. Additional language skills in Spanish and/or other languages are beneficial. Good team work skills are required.
