Plans and directs the efficient operation of the dept across four locations (Clemson, Greenville, Spartanburg, & Greenwood).Manages dept payroll, accounting, travel, personnel, preparation of budget, while coordinating client inquiries and marketing of dept services. Monitors grants, contracts and other electronic reporting requirements. Performs other duties as assigned.
40% - Essential - Fiscal Management:Assists with fiscal responsibility for departmental resources. Complies receipts, invoices and other documentation to process fiscal transactions including two University procurement cards using CUBS, Buyways, and MarketPlace systems. Reconciles monthly reports for expenses and revenue in coordination with outside funding sources. Liaises with departmental purchasers to advise on fiscal policy and procedures. Prepares and processes budget revisions. Manages seminar records and accounts, reconciling with cash and treasury (MarketPlace) for credit card transactions and bank deposits. Uses CUBS queries for six accounts to provide documentation to university and outside funding sources.
30% - Essential - Departmental Payroll Management: Prepares and processes all documentation for departmental payroll activities. Completes onboarding paperwork and termination forms for each of the Region's four centers. Manages new hire orientation regarding Kronos and other university systems. Request database and network credentials for all new hires. Coordinates on boarding for students each semester for the Greenville Center and for the Clemson Center. Reconciles leave for all FTEs in Kronos and PeopleSoft, and inputs payroll data for PT consultants. Serves as primary contact for Kronos issues across four locations. Updates PDEs to reflect updated account codes. Assists director with personnel records and functions.
30% - Essential - Office Management: Establishes and maintains filing system for admin. files, financial records and client case files. Develops and recommends procedures for office operations across 4 locations. Stays abreast of university guidelines and regulations to maintain uniform compliance across locations. Prepares Online travel reimbursements for dept. employees, ensuring compliance with travel rules and regulations. Maintains events and publications for CU Region SBDC website, SC SBDC website. CU calendar and local area partners calendars. Serves as point of contact for clients and walk-ins, email or phone inquires. Directs referral of clients and inquiries. Research, designs and updates office handouts and forms. Purchases and coordinates delivery of computers, equipment, and office supplies. Liaises with SC SBDC Lead Center (USC) for branding standards with ordering new materials. Coordinates planning of annual SBDC event. Supports SC SBDC Lead center with planning statewide programs hosted in the upstate. Develops and maintains relationship with various professional groups. Coordinates training for new technology and equipment. Maintains inventory log for all CU equipment at 4 locations. Supports region staff by liaising between University and 3 other host institutions to resolve IT and other issues.
A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
