We are seeking an experienced and highly motivated,well organized and detail-orientedSpecialist for our Admissions Department.

General Summary:

Reporting to theDirector of University Systems and Operations, this position serves as important liaison for college admissions offices. The incumbent will serve as the university contact for new student accounts and provide oversight of the new student transition processes. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Principal Duties and Responsibilities:

  • Account Provisioning, Office Processes, and Compliance

  • Serves as the university point of contact for admission inquiries, disseminates preliminary information about Rush University and its academic programs and answers questions via phone, email and in person.

  • Serves as the university point of contact for consumer information and manages consumer information website.

  • Develops and executes a seamless university pre-matriculation process and provides referrals to the colleges for more in-depth admission consultations.

  • Develops and supervises a university work study student ambassador program to facilitate tours and serve as informational resources.

  • Oversees weekly processes in university systems, including Recruiter, Colleague and OnBase to ensure efficient processing of student applications and new student accounts.

  • Coordinates the creation, dissemination and end-user support of student accounts for new students.

  • Interfaces with college admission offices, information services, security and human resources to ensure that student accounts are created in a timely manner.

  • Assists incoming and enrolled students experiencing difficulties or inquiring about their student accounts.

  • Manages the student ID creation and dissemination process for students

  • Assists with monitoring student institutional compliance requirements (i.e., submission of student immunizations, and emergency contact information, and completion of mandatory training modules (i.e. LEAP).

  • Communications Coordination

  • Collaborates with the college admission offices, university relations and other university offices to develop a coordinated communications plan and consistent university messaging for prospective students, applicants and admitted students

  • Manages communications for the office, which serves as the primary point of contact for prospective students, newly admitted students, and campus visitors.

  • Manages university-level communications for new students, including university-level websites, providing information and resources specific to prospective and pre-matriculated students.

  • Develops and oversees the student portal resource page designed specifically for admitted students, providing timely and clear information on requirements and next steps necessary for matriculation.

  • Administers department email accounts for admissions and new students and manages inbound calls for the admissions/new student phone line.

  • Assists in development of relevant admissions and prospective student reports for University stakeholders

  • Assists with the development and management of data tracking systems for visitors and provides reports to stakeholders.

  • Performs related duties as required.

Knowledge, Skills and Abilities:


  • Bachelor degree required, preferably in higher education administration or related field. At least three years of related experience required. Experience using student information systems and admissions software preferred. Experience in university admissions and/or new student programs preferred.


  • Strong communication, interpersonal and customer service skills required.


  • Ability to interact effectively with stakeholders at all levels. Must be highly organized with strong attention to detail required. Ability to work occasional off-shift hours and weekends required
