The School is committed to providing learning and development opportunities to all of our faculty and staff. It is required for all new SHRA staff to complete one Training and Development Learning Module in a given 18 month period. The learning module and tracks (Fundamental Courses vs. Advanced Courses) for this position with a sequence of completion will be shared during the onboarding process. It is expected that each staff member complete the required modules for their given position within six years of the start of their first course. This requirement is in compliance with the School’s Strategic Initiative Six “Our People” that requires documentation that 100% of staff participate in at least three days of School- or UNC-based learning opportunities or skill development each year.
This is a newly created Executive Assistant position reporting directly to the Sr. Director of Administration. This position will provide admin support to units in the UNC Eshelman School of Pharmacy during the times when: a) a recruitment to fill a vacant permanent position is underway (includes newly established positions or replacement for employees who leave) b) a perm SHRA employee is on extended leave (i.e. FMLA) This position is primarily intended to be used by the school support units and to cover for administrative positions within academic divisions. The goals for this position include consistent onboarding process for new hires for EA and AA positions 2) seamless transition of knowledge of systems, school, processes, etc. 3) develop SOPs and recommendation to division/FAO for process improvement 4) reduce the number of temps used for these positions, etc. Additionally this position is responsible for ensuring best business and operational practices continue with the implementation of a business cluster organization. Responsible for serving as a liaison to the divisions in relationship to the Finance, Administrative and Operations team. This position will serve as a floater between various administrative units in the School and requires a candidate who is comfortable with managing a variety of work responsibilities and regularly changing work assignments. Applicants must be flexible and adaptable.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
A Bachelors’ degree and at least two years of administrative support experience is preferred. Familiarity with the UNC policies and regulations is an advantage.
The expectation for all new hires is that they have a working knowledge of all Microsoft Office products, as it pertains to their position. This would include: PowerPoint, Outlook, Word, and Excel. The employee is expected, upon hire, to maintain a level of proficiency related to these products.
