The International Projects department guides industry partners and post-secondary institutes as they train local workforces in developing economies to deliver quality applied education and training. As SAIT’s global mentorship arm, International Projects shares SAIT’s best practices in: educational delivery and instructional excellence; foundational and technical education and training; facilities and equipment development and operational implementation.

We are currently recruiting an Administrator, Team Lead, to provide support to the department of International Projects with all aspects of administration. Reporting to the Associate Director and Academic Chairs, you will be accountable for the daily management of administrative resource leveling and communications, correspondence, and other administrative assignments as required. You have the ability to handle highly confidential and sensitive information with discretion and in accordance with internal policies.

Responsibilities:

  • Planning and managing administrative resource leveling for the department under the supervision of the Academic Chairs

  • Providing supervision of the administrative assistant team and guiding day-to-day operations based on the direction of the Academic Chairs and operational needs

  • Managing Outlook calendars for meetings, including the scheduling of attendees and locations

  • Assembling briefing notes, agendas, minutes, proposals, and presentations

  • Preparing and routing client correspondence; preparing documents, reports and templates using MS Office Suite

  • Compiling reports

  • Creating, organizing, and maintaining paper or electronic filing system for essential documents

  • Researching SAIT-related procedures and information, as needed

  • Maintaining and tracking financial documentation

  • Tracking and arranging payment of staff P-cards, invoices, wire transfers, expenses, etc.

Qualifications:

  • Minimum Bachelor’s degree in Commerce, Business Administration, or Education is required

  • Minimum three to five years administrative experience directly reporting to management

  • Experience supervising a team

  • Intermediate to advanced experience with Microsoft Office (Excel, Word, and Project)

  • Intermediate to advanced experience with BANNER and D2L software

  • Strong attention to detail, proof-reading, and accuracy with numbers

  • Ability to work independently with little direction and make accountable resource leveling decisions

  • Experience working with diverse teams

  • Considerable skill in decision making, establishing priorities, analytical and organizational skills, and strong communication skills

  • Ability to deal appropriately with highly confidential information

  • Ability to build a team and foster individual and portfolio growth, and engagement

  • Equivalent combinations of education and experience may be considered
