Administrative Assistant Needed! OfficeTeam is currently looking for an Administrative Assistant for the Parts department of a busy home décor supplier in Boise. This Administrative Assistant will support to the Parts Director by compiling and maintaining schedules generated from Parts invoices, and manage the daily activities of the Parts department including administrative and customer service functions. ESSENTIAL DUTIES ? Clerical: o Answers incoming phone calls for the parts and sales teams in a prompt, polite, professional manner. o Opens and routes incoming mail for the Parts Department. o Handles special clerical projects as instructed by either the Parts Director or controller. ? Customer Service and Retention: o Handles customer complaints or refers to appropriate employee for resolution. This will include follow up to make sure that customer has been taken care of and is satisfied. ? Administrative: o Provides collections of parts invoices, from Charge Backs and Schedules o Maintains Parts invoicing system to turn into accounting. o Prepares and sends out receipts, bills, policies, invoices, statements, and checks as needed. o Composes and prepares routine correspondence. o Maintains spreadsheet of inventory for reporting purposes o Scheduling o Maintains tracking and scheduling of parts training o Provides assistance to Parts Director Daily check sheet, E-Mail and Voice Mail o Maintains knowledge of basic Parts Department information to act as a resource for incoming callers, visitors, accounting, parts sales and warehouse staff. ? Other o Maintains professional appearance and neat work area. o Ability to read and comprehend simple instructions, short correspondence, and memos. o Ability to write simple correspondence. o Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. o Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. o Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
