Summary: Provides executive level administrative support Executive management to facilitate the efficient use of time and resources by performing the following duties..

Essential Duties and Responsibilities (Other duties may be assigned.)

  • Resolves problems from information that is not readily available and may require research and make recommendations.

  • Exposed to and handles/maintains highly confidential and sensitive information.

  • Tracks and manages special projects and ensues that deadlines are met.

  • Has thorough knowledge of company products, policies, practices and procedures.

  • Coordinates off-site conferences and meetings; makes travel arrangements.

  • Handles agenda and logistics for meetings, dinners, and other functions.

  • Assists with technical challenges by working with IT department to resolve issues in shortest amount of time.

  • Answers phones, screens calls, takes messages, refers callers, manages calendars and sorts/distributes mail.

  • Prepares materials for meetings, compiles special reports, letters, memos.

  • May track budgets/expenses and analyze/prepare reports.

  • May provide leadership/direction to other administrative assistants.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: Bachelor's degree (B. A.) from four-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience. Minimum 4 years experience as an assistant to VP level or above.

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence and to speak effectively before groups of customers or employees of organization.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills: To perform this job successfully, an individual should have knowledge of AS400, Diver, Internet, spreadsheet, word processing, PowerPoint software and order processing systems.

Other Qualifications:

  • Spanish bilingual abilities preferred.

  • Ability to work overtime.
