Job Summary

For over 100 years the mission of the Taubman College of Architecture and Urban Planning has been to prepare students for positions of responsibility within a wide spectrum of professions, organizations and institutions whose goals are to improve the quality of our lives and the built environment. The college is located in the Art and Architecture Building on North Campus and offers doctoral programs in architecture and urban planning, master’s programs in architecture, urban design and urban planning, and a bachelor’s program in architecture.

Purpose

This position is responsible for executing a high-level of professionalism and customer service to prospective students seeking admission to the Alfred A. Taubman College of Architecture and Urban Planning , while also providing program support in the areas of application review, event management, and recruitment. This position reports to the Assistant Director of Admissions.

Responsibilities*

Recruit high-quality applicants to all Taubman College degree programs, as assigned, including freshman, cross-campus/new transfers, from assigned geographic regions. Understand the Taubman College mission and philosophy and communicate this effectively to high-potential Architecture candidates. Target high-potential candidates and encourage their application to the Taubman College. Manage and oversee diversity, equity and inclusion efforts for undergrastuate admissions. Organize application data and coordinate faculty review process. Manage yield rate for regions and analyze regions, using market data and industry knowledge. Make presentations to prospective students and families, high school teachers and counselors, and others, as appropriate. Maintain up-to-date knowledge of Architecture careers.

RECRUITING ADMINISTRATION

  • Manage the student recruitment inquiry process for the college degree programs, as assigned, throughserving as the first line of contact for incoming calls, voice mail, email, and written inquiries from students, parents, staff, faculty, and outside agencies to provide information on admission requirements, policies, procedures, and application status

  • Coordinate and execute recruiting travel which includes representing Taubman College at events such as college fairs, high school classroom visits, and architecture fairs

  • Create a welcoming atmosphere through management of the online visit registration system by scheduling information sessions, personalized visits, and tours; this may include reserving rooms, and providing communications to guests on parking, hotel and travel arrangements, and campus resources

  • Provide information sessions and tours for registered and "walk-in" university guests, prospective and current students, and families who are interested in learning more about Taubman College

  • Co-write (in collaboration with the Director), maintain, and supervise the use of scripts for common responses to general inquiriesand presentations for prospective students

  • Coordinate the Architecture Ambassadors: a group of 8-10 current undergraduate students who support admissions events and cross-campus marketing as well as provide mentorship for underclassmen and incoming students

  • Advise external and cross-campus transfer applicants, as well as preferred admission students, on course requirements and selection and application and portfolio requirements

  • Collaborate with Director and marketing team to strategically market the undergraduate program to prospective freshmen and transfer applicants, with special attention on cross campus marketing efforts

  • Update all recruitment and prospect rosters as necessary, including working with ITS to maximize roster usage and the check-in tools utilized during information sessions and workshops

  • Serve as liaison with the Office of Undergraduate Admission (OUA), coordinating recruiting efforts when possible and supporting OUA events such as Campus Day, M is 4 U Spotlight, and others

ADMISSIONS ADMINISTRATION

  • Compile, track, and scan communications and application materials received from applicants to ensure that any information provided is sorted, documented, and escalated to the appropriate admission review committee member

  • Perform initial screening of applications, providing complete information to appropriate faculty reviewers, including whether prerequisite requirements are met, if application files are complete, and other relevant information provided from OUA

  • Implement the automation of all outgoing communications related to the application and enrollment process, including communications regarding missing application credentials to ensure that applications are complete, decision letters, and enrollment confirmations

  • Update the customer relations management (CRM) system and database when communications are sent, including the organization of large batches of communications that are sent during decision periods

  • Serve as the main contact for external and cross-campus transfer students on application materials, meeting admission requirements, and questions regarding transfer credit equivalencies

  • Collaborate with OUA to update and manage systems within wolverine access, including communication codes, application status, and program action reason status entry

  • Collaborate with, and act as back-up to, staff in other admissions & recruiting areas to maintain a high level of customer service, including responding to telephone calls and e-mail and assisting walk-in visitors

  • Maintain electronic unit files with attention to confidentiality

  • Serve as the ArcStart admissions lead, coordinating the application processing and communications which includes consolidating application data for ArcStart faculty lead, communicating with applicants who are missing materials, and sending out admissions decisions and scholarship notifications

  • Update applications, communications, and admissions and scholarship letters yearly

MARKETING & OUTREACH

  • Collaborate with Marketing Communications regarding communications with prospective students. This includes developing project plans for and managing execution of e-mail campaigns, newsletters, event-related emails and surveys.

  • Collaborate with Marketing & Communications to properly market the ArcStart summer program to target high schools.

  • Monitor online Architecture forums to identify trends and issues among candidates. Develop and execute strategies to respond to issues and questions raised on online forums, including the engagement of current students, as appropriate.

Required Qualifications*

  • Bachelor's Degree and a minimum of 1-2 years work experience in a customer service oriented position preferred or equivalent combination of education and related experience

  • Ability to work effectively in a high fast paced environment

  • Excellent analytical, problem-solving and decision-making skills

  • Excellent public speaking skills

  • Professional demeanor and excellent oral and written communication skills

  • Ability to work independently and to exercise initiative as a crucial member of a team

  • Ability to set priorities, work simultaneously on numerous tasks with multiple staff, and meet deadlines

  • Demonstrated project management and organizational skills; strong attention to detail

  • Deep dedication to customer service, quality management, and a team approach to work

  • Demonstrated ability to provide data analysis, including spreadsheet management and proficiency with basic Microsoft Office skills
