We are searching for experienced bilingual international Travel Logistics / Meeting Coordinator.

Candidate(s) hired for this position will be providing high quality event coordination support and customer service for international delegations. Candidate(s) must be able to multi-task, be very organized, thrive in a fast-paced environment, maintain accurate documentation, and be able to work independently, have great problem solving and decision making skills and impeccable communication skills in English and Arabic.

Responsibilities include:

  • Scheduling business trips for delegations from USA, Asia, Africa, Middle-East, etc. traveling to attend conferences, meetings, and trainings worldwide.
  • Booking and purchasing air tickets; assisting in getting visas to relevant countries; coordinating hotel lodging, transportation, meeting facilities, interpreters, and provide other related services.
  • Preparing cost estimates for upcoming events including meeting facilities, transportation, interpretation services, lodging, etc.
  • Tracking and monitoring project budgets and expenses.
  • Communicating all aspects of travel and support to clients and identifying potential challenges.
  • Coordinating and monitoring relationships with vendors and subcontractors.
  • Processing and approving invoices.
  • Researching, negotiating, and following-up on services with support vendors.

Having strong knowledge of MS Office - Outlook, Word, Excel and Internet search capabilities and a willingness to work overtime as needed is a must! *Note: The position requires the person to carry the on-call cell phone on a rotational basis. *

Occasional travel (domestic and international) may be required.

Must be currently living in Amman, Jordan and have Jordanian citizenship.

Minimum requirements – Bachelor’s Degree and at least two years of travel support / international project experience with heavy customer service required. Excellent English and Arabic skills. Experience with International organizations preferred.

* * Must be currently living in Amman, Jordan with Jordanian citizenship. * 4 years of University (recent graduate) OR 2 years of University, with 2 years of significant customer service experience. * Strong customer service; interpersonal, communication, Internet search and computer skills. * Ability and willingness to do some, physical work in setting up meetings or taking inventory of materials, as needed – sometimes in remote locations. * Excellent organizational skills with ability to maintain accuracy under time constraints; decisive problem solving skills; ability to work independently and/or with a team; and, a willingness to work overtime, as needed.

The work will include coordinating transportation; meeting support (conference facilities, catering, interpretation support); scheduling employees/contractors for assignments; tracking budgets; invoices; researching, negotiating, and following up on services with support vendors. Responsibilities include carrying on-call telephone and responding to and being proactive with calls and email at any time.
