Job Purpose

General administrative duties in support of cross functional services on an assigned and as-needed basis in support of the BOS contract at the Mark Center.

Essential Duties and Responsibilities

  • General administrative support: Maintain updates to Mark Center BOS documents such as organizational charts and other pertinent documents; prepare/edit correspondence and presentations as required; filing, scheduling, answering phone calls, scan documents, photo copies, electronic document filing/storage, greet customers, etc.; transpose handwritten notes into electronic form; able to create graphs and tables; and provide other support as needed.

  • Data entry: Includes daily entry of information for Site Maintenance and Vendor Coordinator PM and CM tickets into Maximo; assist in the PM & CM management within Maximo; process purchase orders for Site Maintenance and work with purchasing for completing the purchase orders; etc.

  • Record keeping and tracking: parking passes for visitors, vendors and employees; assist in updating SOPs and internal procedures; assist in scheduling audits; work with vendors (Site Maintenance & Vendor Coordinator) to acquire information for access to the Mark Center and track expiration of passes (ITS); etc.

  • Overall office support: Take calls and/or customer inquiries and provide responses to various requests for information, both routine and those requiring research and follow-up; manage office supplies to include ordering, organizing and maintaining general office supplies; maintain the calendar for scheduling of the conference room; assist with special event planning; etc.

Additional Duties and Responsibilitie

Help adjust reorder points for consumables and setting up defaults (pre-populated) purchase requests to expedite the ordering process. Upload documents and make copies. Help drive continuous quality improvement in a facilities management service environment by recommending process improvements. Utilize Maximo (a computerized maintenance management system (CMMS)). Flexibility and a strong sense of customer service are essential as the work will be varied based upon needs of different functional areas as well as work volume ebb and flow. Perform other duties as assigned by supervisor or designated individual. Participate in all other training required by funding source(s) and/or the Corporation such as Human Rights training.

Education, Experience, Certifications and Licensures

High school diploma; Bachelor degree a plus; and three (3) or more years secretarial experience, at least two (2) of which are administrative skill related.

Knowledge, Skills and Abilities

Very strong organizational skills (e.g., well versed in organizing files in chronological, alphabetical and numerical order; demonstrated ability to retrieve any document in a timely manner); typing speed of 65 wpm (less error rate); ability to operate a computer and very proficient in Microsoft Office Suite (to include at a minimum Word, Excel, and PowerPoint); experience operating fax and copier machines; analytical skills; interpersonal skills; high attention to detail is essential; excellent communication skills (written and verbal) and interpersonal skills along with research and computer skills; ability to take initiative and show resourcefulness; team oriented and flexible; and ability to regularly lift and/or move up to 25 pounds; ability to learn and use other software as needed; effective internal and external customer relations skills.
